Administrative Assistant
- Reporting To: Executive Assistant
- Location: Syracuse, New York (Not Remote)
- Employment Type: Full Time | Day-Shift
- Position Description: We are seeking a proactive and organized Administrative Assistant to join our dynamic team. The ideal candidate will be responsible for supporting the department with scheduling, travel arrangements, and various administrative duties to ensure smooth and efficient operations. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
- Wage: $19.00 - $23.00 Per Hour
- Key Responsibilities:
- Scheduling and Coordination:
- Review and input projects into the scheduling system.
- Verify schedules and appropriate information required for job completion.
- Oversee job code creation in the payroll system.
- Timecard review and reconciliation in preparation for supervisor review.
- Travel Arrangements:
- Plan and book travel arrangements for staff, including flights, accommodations, and ground transportation.
- Ensure travel arrangements align with company policies and budget constraints.
- Prepare and provide travel itineraries and necessary documentation to field service staff.
- Administrative Support:
- Maintain and update records, reports, and databases.
- Prepare and distribute relevant documents to project management.
- Communication and Coordination:
- Provide exceptional customer service and support to field staff.
- Process Improvement:
- Identify opportunities to improve scheduling and administrative processes.
- Assist in the development and implementation of best practices and procedures for the Field Services Department.
- Qualifications:
- High School Diploma or equivalent; Associate’s degree or higher preferred.
- Proven experience in an administrative support role, preferably within a field services or technical environment.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and scheduling software.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive information with discretion.
- Strong problem-solving skills and attention to detail.
- Flexibility to adapt to changing priorities and demands.
- Skills and Abilities:
- Experience with field service management skills.
- Excellent communication and interpersonal skills.
- Knowledge of industry-specific regulations and standards.
